Partner terms
Last updated 9 October 2026
For hotels, homestays, rentals, bus and cab operators, guides and experience hosts who take bookings from Tavora. Want to join? Apply to be listed.
The short version
You quote us a net rate and we pay it. No commission, no listing fee, and no rate parity: sell anywhere at any price.
Use guest details only for the booking. Repeat guests can come straight to you.
1. Who these terms are for
These terms apply to hotels, homestays, camps, bike and car rentals, bus and cab operators, guides and experience hosts (“partners”) who take bookings from Tavora for our travellers. They apply from the moment a partner is listed or accepts a booking from us, alongside anything we agree in writing for a specific booking (for example a rate card or a confirmation message). If the two differ, the specific written agreement wins.
Applying and being listed is free. You can stop working with us at any time.
2. Rates: net rates, no commission, no parity
- You set a net rate. You tell us what you will charge us for a room, vehicle or service (your rate card). That is what we pay you. We don't charge you a commission or a listing fee.
- We set the traveller's package price. We sell a complete tour package at one price, and our own planning fee is shown openly to the traveller.
- No rate parity. You are free to sell your rooms or services anywhere else, at any price, including lower prices directly or on other sites. We don't ask you to match or beat anyone.
- Taxes. Tell us whether your rate includes GST. If you are GST-registered, please invoice us with your GSTIN for each booking.
- Rates in writing. Rates we have confirmed in writing for a booking stay fixed for that booking, even if your rate card changes later.
3. How a booking works
- We contact you by phone, WhatsApp or email with the dates, guests and the rate, and ask you to confirm availability.
- A booking is confirmed only when you confirm it to us in writing (a WhatsApp message is fine). Until then neither of us is committed.
- We send you the guest details you need (see who gets what).
- You provide the service as described in your listing and the confirmation, to a reasonable standard, and tell us straight away if anything changes.
4. Getting paid
- We pay the confirmed amount by bank transfer or UPI, either as an advance when the booking is confirmed or after the stay, as agreed for that booking. Where nothing is agreed, we pay within 7 days after check-out or after the service is provided.
- Guests do not pay you for anything included in their package. Extras the guest orders on the spot (meals, laundry, extra activities) are between you and the guest.
- If we dispute any amount, we will say so in writing within 7 days and pay the undisputed part on time.
5. Cancellations and changes
- If our traveller cancels, your cancellation policy applies, as long as you shared it with us in writing before the booking was confirmed. Without a written policy, a cancellation more than 7 days before arrival is free.
- If you cancel or can't provide what was confirmed (for example, an overbooking or a broken-down vehicle), tell us immediately, refund any advance in full within 7 days, and help us find a comparable alternative. We don't charge penalties, but repeated cancellations mean we stop sending bookings.
- Events outside anyone's control (landslides, road closures, severe weather, government orders): we'll work out a fair outcome together, normally a free date change or a refund of any advance less costs you actually incurred and can show.
6. Guest data
We share guests' personal data with you only so you can provide the booked service. Under India's Digital Personal Data Protection Act, 2023, you are responsible for how you handle it once you have it. You agree to:
- use guest details only for the booking and for records the law requires you to keep (for example, a guest register);
- not add guests to marketing lists, send them promotions, or share their details with anyone else, unless the guest asks you to or agrees directly with you;
- keep the details reasonably secure, and delete them when you no longer need them for the booking or the law;
- tell us within 24 hours if you learn that guest details we sent you have been lost, stolen or misused.
7. Our guests, your guests
We don't restrict you from dealing with guests. If a traveller we sent finds you and books with you directly next time, that's fine with us. We only ask that you don't use the details we gave you to approach them, and that you don't ask a guest on a current Tavora booking to cancel with us and pay you directly instead.
8. Your listing, licences and safety
- You confirm that what you tell us (rooms, photos, facilities, vehicles, prices) is accurate, and that you have the right to let us use the photos and descriptions you send. We may edit them for length and clarity and show them on Tavora.
- You hold and keep up to date the registrations, licences, permits and insurance your business needs under the law (for example, permits for rental or commercial vehicles, and a valid licence for every driver).
- You follow the safety and guest-registration rules that apply to you, and treat every guest with respect, without discrimination.
- We may pause or remove a listing if we receive serious complaints, if a listing is inaccurate, or if a licence lapses. We'll tell you why.
9. Responsibility
Each of us is responsible for our own part. You are responsible for the services you provide and for your premises, vehicles and staff. We are responsible for the bookings we make, the information we give you, and paying you as agreed. Neither of us is liable to the other for indirect losses such as lost profit. Nothing here takes away any right either of us has under Indian law.
10. Ending, changes and disputes
Either of us can stop working together at any time by telling the other. Bookings already confirmed are still honoured on the agreed terms, unless we both agree otherwise.
If we change these terms, we'll tell listed partners before the change applies to new bookings. These terms are governed by the laws of India. We'll always try to settle a disagreement by talking first; write to info@railroute.in or WhatsApp +91 83699 27133.
